Auto-Sharing Google Sheets with Your Team Using FormFroggy
FormFroggy creates a Google Sheet for each WordPress site you connect. By default, that Sheet is shared with the email address on your FormFroggy account. But you can also automatically share each Sheet with additional team members, and FormFroggy handles it for you.
Why sharing matters
The whole point of syncing form data to Google Sheets is to make it accessible to the people who need it. If only the FormFroggy account owner can see the Sheet, you have just moved the problem - instead of logging in to WordPress to find data, you are the gatekeeper of the Sheet.
Automatic sharing removes that bottleneck. Set it up once and every new Sheet is shared with the right people automatically.
How sharing works in FormFroggy
When FormFroggy creates a new Google Sheet for a connected site, it invites the specified email addresses as editors on that Sheet. Those users receive a standard Google Drive share notification and can open the Sheet immediately.
This happens automatically when the Sheet is created. You don't need to manually share anything in Google Drive.
Setting up share emails in the WordPress plugin
Open the FormFroggy settings in your WordPress admin. You'll see a Share Emails field. Enter one email address per line for everyone who should have access to this site's Sheet. Save your settings.
Those email addresses will be invited when the next Sheet is created. If a Sheet already exists for the site, it will also be shared with any new email addresses the next time a submission comes in.
Who should you add?
Think about who needs to work with the form data directly. Common cases include: the client (if you're an agency), a marketing team member running campaigns, a sales lead reviewing inbound inquiries, or an operations person tracking registrations. Anyone who needs to act on the data should have direct access to the Sheet.
Permissions and access
Shared users are given editor access by default, which means they can view, filter, and edit data in the Sheet. If you want to give read-only access, you can adjust permissions directly in Google Sheets after the initial share. FormFroggy does not control post-share permissions.
Using sharing with multiple sites
If you connect multiple sites, you can set different share lists for each site. Each site's plugin settings are independent. The marketing team for site A does not need access to the Sheet for site B. You configure sharing per site.
What about Google Workspace vs personal Gmail?
FormFroggy can share Sheets with any Google account, whether it's a personal Gmail address or a Google Workspace account. The recipient just needs a Google account to access the shared Sheet.
